How to use Treasury Intake

Everything you can do, step by step. Tap a topic to jump.

๐Ÿ“ฅ Recording a deposit

  1. Open ๐Ÿ“‹ Committees & deposits and tap your committee.
  2. Tap โ–ถ๏ธ Start a deposit batch โ€” it's date-stamped when you start it.
  3. Tap ๐Ÿ“ท Add photo and photograph the check, contribution form, or (for cash) the donor's info with the cash in the shot. Add a 2nd photo (e.g. a remit envelope) if needed.
  4. Tap ๐Ÿ” Read details โ€” the app reads the name, amount, address, etc. Fix anything, then โœ“ Save to ledger.
  5. Repeat for each gift. When the deposit is done, tap ๐Ÿ“ง Close & email batch to email the spreadsheet + photo PDFs to your listed contact.
A couple on one check is split into two donor records automatically. Each saved gift shows its per-election running total against the limit.

โœ‚๏ธ Splitting a check across elections

A donor can give to both the primary and the general โ€” often with one larger check. To split it: open the gift (tap โœ๏ธ edit in the Recorded list), expand โœ‚๏ธ Split this check across elections, enter the Primary and General amounts (they must total the gift), and tap Apply split. You get two correctly-attributed records with the same donor, date, and source photo โ€” and each counts against its own election's limit.

โœ๏ธ Entering a gift by hand

  1. In the committee, tap โž• Add without a photo โ†’ โœ๏ธ Enter one manually.
  2. Fill in name + amount (required) and any other details.
  3. Tap ๐Ÿ’พ Save to ledger. It shows the donor's limit status right away.

๐Ÿ“„ Importing a spreadsheet

  1. Tap โž• Add without a photo โ†’ ๐Ÿ“ฅ Import a spreadsheet.
  2. Tap โฌ‡๏ธ Download template for the exact columns โ€” or just upload a PDC export or a credit-card processor export; the app recognizes those formats automatically.
  3. Choose your file. You'll get a preview: how many valid rows, any problems, and columns it matched. (PDC "Last First" names auto-flip to "First Last.")
  4. Tap ๐Ÿ“ฅ Import. Rows land in an Imported batch. Lumped "SMALL CONTRIBUTIONS" lines are skipped automatically (their individual donors come from the card export instead).

๐Ÿ” What happens with duplicates

The app matches donors by email then by order-insensitive name, so "Krist Novoselic" and "Novoselic Krist" are the same person. On import, an identical gift (same donor + amount + date) is skipped.

When two systems record the same gift on different dates (e.g. PDC receipt date vs credit-card transaction date), a ๐Ÿ” Possible duplicates review appears. For each pair you choose:

๐Ÿ”„ Transfer donors to another election

Starting a new cycle? At the bottom of the ๐Ÿ‘ฅ Donors list, open ๐Ÿ”„ Transfer donors to another election, pick the committee to copy them into, and tap ๐Ÿ‘ Preview to see how many are new. Tap ๐Ÿ”„ Transfer to copy their contact info (name, address, employer/occupation, email, profile & notes). Gifts and running totals are not copied, so each donor's contribution limit starts fresh for the new election. Anyone already in the target is skipped, and couples stay linked.

๐Ÿ’Œ Thank-yous

  1. Tap ๐Ÿ’Œ Thank on a donor or gift.
  2. Pick a channel: Letter, Email, or Text. A standard message appears.
  3. Tap โœจ Personalize to have AI tailor it using the donor's profile/notes and giving history. Edit freely, then ๐Ÿ’พ Save edits.
  4. ๐Ÿ“„ Print letter, ๐Ÿท๏ธ Label, or ๐Ÿ“ง Send email (needs an email on file).

How do I tell it how to customize?

Open the donor (๐Ÿ‘ฅ Donors โ†’ tap them, or the ๐Ÿ“ section in the thank-you) and fill in Profile and Notes. The more you put there โ€” how you met, what they care about โ€” the more personal the AI letter.

โœ‰๏ธ The letter maker

  1. In the committee, scroll to โœ‰๏ธ Letter maker.
  2. Choose an Envelope style: #10 window (address shows through) or Regular envelope (clean letter, you print labels).
  3. Add your logo, write the body (tap a {token} to insert the donor's name, amount, date, etc.).
  4. Drag each block โ€” logo, addresses, date, body โ€” where you want it. Turn on the window guide and drag the recipient block into it.
  5. Tap ๐Ÿ‘ Preview or ๐Ÿ‘ Proof PDF (proof shows fold + window lines). Print at Actual size / 100%, fold, check, adjust, then ๐Ÿ’พ Save.
Saved templates are reused by every letter and mailing. Couples/households print as one combined letter.

๐Ÿ–จ๏ธ Printing a mailing

Do this on a computer (phones don't print). In the committee's mail center, pick your Avery stock, then โฌ‡๏ธ Download all three:

๐Ÿ“ฃ Campaign mailings (beyond thank-yous)

The ๐Ÿ“ฃ Campaign mailing panel sends a whole letter batch to a group of donors:

  1. Pick the letter. Choose one of your saved letters, or a Starter โ€” fundraising ask, endorse another candidate, get-out-the-vote, fundraiser invitation, or ask-a-friend. To give a starter your logo & layout, open it in the Letter maker (its "Start from a type" menu), fill in the [bracketed] parts, and Save.
  2. Pick who gets it: every donor, donors who've given at least $X total, or donors in a city/area.
  3. ๐Ÿ‘ Preview audience shows how many letters and donors match (and how many were skipped for having no address).
  4. โฌ‡๏ธ Download all three โ€” letters, labels, and instructions, same as a thank-you mailing. Couples still combine into one piece.
Campaign letters are dated today and use the letter's own message โ€” they never reuse a thank-you.

โš–๏ธ Contribution limits

Open โš–๏ธ Committee settings & contribution limits at the top of your committee to set the per-election limit, the employer/occupation threshold, the cash-gift cap, and your primary/general dates (tap Fill WA defaults for a head start). Each gift then shows the donor's running total; the app flags approaching (โ‰ฅ80%) and over the limit so you can refund the excess. Employer/occupation, cash caps, and last-minute rules are tracked too.

Enforcement. In settings, When a gift would exceed the limit can be Warn only (records it and flags it) or Require confirmation โ€” the app then stops an over-limit gift at save and asks you to confirm before recording it over the limit.

๐Ÿ—“๏ธ Filing deadlines

Once you enter your primary/general dates, a banner at the top of the committee shows your next filing deadline, and ๐Ÿ—“๏ธ Filing deadlines lists the standard WA pre-election reports (21-day and 7-day), election days, and the monthly-report reminder. Confirm exact dates against the PDC calendar for your filing option.

๐Ÿฆ Exports & filing

In the committee's Recorded section: ๐Ÿ“‡ ORCA Contacts (your donor list for ORCA/PDC import) and ๐Ÿฆ C3 Worksheet (gifts by deposit date, with aggregate-to-date). Each row carries a Reference matching its photo.

๐Ÿ’ธ Expenditures (C4)

Track what the committee spends in the ๐Ÿ’ธ Expenditures (C4) panel:

  1. โž• Add an expenditure โ€” payee, amount, date, a category, and what it was for. Open More details for the payee's address, payment method/check #, and notes; tick In-kind for donated goods/services.
  2. Each entry shows in the list with a running total spent; tap โœ๏ธ to edit or ๐Ÿ—‘ to remove.
  3. ๐Ÿฆ Download C4 worksheet (CSV) โ€” every expenditure in one file (with a total) to transcribe into your PDC C4 or import into ORCA.
